GUIDELINES FOR ORAL PRESENTATIONS - POWERPOINT PRESENTATIONS
All contributed oral presentations must be presented in English – the official language of this conference.
Length of presentation
A total of 15 minutes (12 minutes for the presentation itself and 3 minutes for Q & A.) has been allocated for each talk (unless you receive different instructions from your Session Chair).
To ensure the sessions run smoothly, please respect the time allotted for your presentation. A moderator will be present to manage the time.
An LCD projector & computer (Windows XP, MS Powerpoint) will be available for oral presentations.
You may present your talk only with PowerPoint computer projection, FORMATTED FOR PC.
If you use a MAC system:
- You need to save ALL portions of the PowerPoint to PC format.
- Photos should be saved to PC format through Photoshop or similar format.
- All portions of your MAC PowerPoint presentation must be saved in PC format so that the onsite PC computers will be able to open your files.
VIDEOS AND PHOTOS:
- Videos and photos must be IMBEDDED in your PowerPoint file. Videos and photos must be formatted for PC. This includes “QuickTime” and any other formats. Test your presentation on a PC computer to ensure that all videos and photos open correctly.
SAVE YOUR POWERPOINT PRESENTATION ON A STORAGE DEVICE THAT YOU CAN TURN IN AND LEAVE WITH OUR STAFF (ie: CD or USB).
We recommend that you open the saved file to make sure it is saved correctly. Also, we recommend that you save a backup copy of your presentation on a separate device.
To avoid software compatibility problems (MS Powerpoint), speakers are advised to save their presentation as a MS Powepoint 2003 file.
NAME THE FILE ON THE STORAGE DEVICE
Please name your file with ONLY the following 3 items:
(1)AuthorName_(2)Title (or first part of the title)_(3)Session number - with an UNDERSCORE between each item.
NO dashes, periods, slashes or spaces, please.
Please name your PowerPoint file as requested, so that your presentation can be easily identified and loaded to the onsite computers.
If you choose to save your talk to a USB (ie: flash drive, memory stick), PLEASE DO NOT HAVE ANY OTHER FILES ON THE USB.
PLEASE TURN IN YOUR POWERPOINT PRESENTATION TO THE registration desk at least 12 HOURS IN ADVANCE OF YOUR PRESENTATION TIME.
This preparation time is very important so that the program can proceed smoothly. Due to the large volume of presentations, the preparation staff requires this time to prepare the computer projectors. You may not take your CD or USB memory device directly to the conference room. If you arrive less than 12 hours in advance, please take your USB memory device to the registration desk as early as possible - do not delay!
PowerPoint presentations up to 20 megabytes can be also sent in advance to the following email address: firstname.lastname@example.org
THE STORAGE DEVICE MUST BE READY TO LEAVE WITH THE PREPARATION STAFF. You cannot edit or download your PowerPoint file in the Speaker Preparation Room. Computers will not be provided for editing purposes.
Speakers should arrive in the conference room 15 minutes BEFORE the start of their session to report to the chair person.
GUIDELINES FOR POSTER PRESENTATIONS
All posters must be presented in English – the official language of this conference.
Poster format and size
Portrait/vertical format. Maximum size 120 cm (height) x 75 cm (width)
Please bring your poster to the conference yourself - do not send it.
Posters can be mounted Tuesday 11 September 2012 (16:30-20.30), and Wednesday 12 September 2012 (09:10-14.00).
All poster boards will be pre-numbered. On arrival, please check in at the registration desk and ask for the number indicating the board assigned to you for displaying your poster.
Optional: You can attach an envelope to the poster board with your business cards or copies of the abstract that people can take away.
We will provide pins and sellotape to fasten posters to poster boards.
All posters must be removed at the latest Friday 14 September, before 17.45.
